Connecting Treez to BioTrack NY

Learn how to connect your BioTrack license to Treez!

NOTE: The following applies only for BioTrack enabled New York licensees after the BioTrack migration has been completed.

BioTrack New York mandates that licensees authorize Treez as their designated integrator to connect with their BioTrack license before Treez can begin reporting activities to the State Tracking System (STS). Unlike other BioTrack markets, the authorization process in New York involves OAuth authentication. This method requires an admin user of the license to enter their credentials to confirm integration approval. It is important to note that this approval must be renewed every 100 days. Failure to renew the OAuth approval before it expires will result in Treez losing its reporting capabilities to BioTrack on behalf of your license. Thankfully, the authorization process is straightforward.

Prerequisites

  1. You must have an Admin user account for your BioTrack license. If you are not sure what your Admin user credentials are, please reach out to BioTrack and/or the Office of Cannabis Management.

  2. Your Treez user must have the Configuration > Config Page permission in Role Management

  3. You must have you BioTrack license number and UBI.

First Time Connecting to BioTrack

To authorize Treez as your integrator of choice for the first time and begin integrating with BioTrack, please follow these steps:

  1. Login to Treez by visiting https://app.treez.io

  2. Select the SellTreez location you wish to authorize from the store selector in navigation menu on the left side of the screen.

  3. Navigate to Configuration > Config Page from the navigation menu on the left side of the screen.

  4. Select the "Integration" page.

  5. Click the "BioTrack Access: User Credentials" to expand the view.

  6. Click the blue "Register User Credentials" button.

  7. Now enter each of the required fields:

    1. UBI - This is the BioTrack Universal Business Identifier for your organization

    2. License - This is the BioTrack location license for the specific retail location you are configuring.

      1. NOTE: This may be slightly different than your OCM license number.

    3. Username - This is the email address associated with your BioTrack admin account.

    4. Password - This is the password associated with your BioTrack admin account.

  8. Click the blue "Link BioTrack Account" button below the form your just filled out to submit the Authorization request to BioTrack.

    1. Note that it may take a few seconds to open the BioTrack Authorization confirmation screen after your click the "Generate Link" button.

  9. A new screen will open in your browser that is generated by BioTrack. This screen will show you some details about the Authorization request including:

    1. Company - This should say "Treez Inc". If this does not say Treez Inc, do not proceed.

    2. Application - This should say "Treez".

    3. UBI - This should show the unique Universal Business Identifier (UBI) of your organization as issued by BioTrack and entered on the previous screen.

    4. Access Type - This should say "Integrator".

    5. Location - This should list your BioTrack location license as entered on the previous screen.

      1. Note that the license is the BioTrack location license which may differe from your OCM license number.

    6. Resource - This should say "*" indicating that you are authorizing Treez to access all BioTrack resources related to the UBI and License number listed.

    7. Operation - This should say "read_write" indicating that Treez can read your BioTrack data and write data back to BioTrack on behalf of your license.

      1. "Read" BioTrack data allows Treez to retrieve data from BioTrack related to your license such as Inventory Transfers, Users, Sales, Adjustments etc.

      2. "Write" BioTrack data allows Treez to send data back to BioTrack related to your license such as reporting sales, adjustments, inventory Transfers, creating users etc.

  10. Below the above information will be 3 input fields that must be filled out:

    1. Username - This is the BioTrack admin account username (email) you entered on the previous screen.

    2. Password - This is the BioTrack admin account password you entered on the previous screen.

    3. UBI - This is the BioTrack Universal Business Identifier entered on the previous screen and displayed above.

  11. Click the green "Grant Access" button below the input fields.

  12. Once this page turns white, click back on the Treez tab in your browser and within a few seconds you should see the page update with a new "Created At" and "Expiration Date" field, indicating that the authorization has been successful. While Treez is waiting on BioTrack to respond with the confirmed authorization, you will see a loading indicator in the top right of the screen.

    1. Created At - This will be the date that the authorization was first created.

    2. Expiration Date - This is the date the BioTrack authorization will expire.

      1. To avoid any service interruptions with BioTrack functionality, licensees must reauthorize Treez as their integrator of choice on or before this expiration date.

Renewing Existing Connection with Same Credentials

As mentioned at the beginning of this article, your BioTrack connection to Treez must be authorized every 100 days to avoid service disruptions between BioTrack and Treez. If you have not changed your BioTrack credentials (username and/or password), you can renew your your existing connection quickly!

  1. In the Configuration > Config Page > Integration > BioTrack Access: User Credentials section, click the Renew button next to your current Active User Credentials.

  2. A new screen will open in your browser that is generated by BioTrack. This screen will show you some details about the Authorization request including:

    1. Company - This should say "Treez Inc". If this does not say Treez Inc, do not proceed.

    2. Application - This should say "Treez".

    3. UBI - This should show the unique Universal Business Identifier (UBI) of your organization as issued by BioTrack and entered on the previous screen.

    4. Access Type - This should say "Integrator".

    5. Location - This should list your BioTrack location license as entered on the previous screen.

    6. Resource - This should say "*" indicating that you are authorizing Treez to access all BioTrack resources related to the UBI and License number listed.

    7. Operation - This should say "read_write" indicating that Treez can read your BioTrack data and write data back to BioTrack on behalf of your license.

  5. Once this page turns white, click back on the Treez tab in your browser and within a few seconds you should see the page update with a new "Created At" and "Expiration Date" field, indicating that the authorization has been successful.

    1. Created At - This will be the date that the authorization was first created

    2. Expiration Date - This is the date the BioTrack authorization will expire. To avoid any service interruptions with BioTrack functionality, licensees must reauthorize Treez as their integrator of choice on or before this expiration date.

Renewing Existing Connection with New Credentials

If your BioTrack password has changed since you last connected Treez to BioTrack or if you need to renew your connection with a different BioTrack user account, you will need to deactivate the current active user credential and register the updated credentials as if they were new.

NOTE: Performing the following steps during business hours is not advised unless absolutely necessary. Deactivating the existing connection credentials may result in failures to connect to BioTrack. However, if the credentials are already invalid or the connection is expired, the connection to BioTrack may already be interrupted and the following steps should be performed immediately to restore BioTrack connectivity.

  1. Click the Deactivate icon to the right of your credentials.

  2. In the confirmation box, click the red "Deactivate" button if you are sure you wish to deactivate the credentials or click the "Cancel" button if you do not wish to deactivate the credentials.
