Learn more about the Mississippi PMP Report for submission of cannabis sales to the Prescription Monitoring System

Retailers is Mississippi are required to report sales to the Prescription Monitoring Program (PMP), in addition to METRC, regularly to remain compliant. The PMP report is required to be submitted in ASAP (American Society for Automation in Pharmacy) format in a .dat file. Treez allows operators to export a CSV with the available information and convert the CSV to an ASAP formated DAT file using the steps outlined in this article.

Setting Up the PMP Report Template

Generating the PMP report in the proper format for upload tp the Prescription Monitoring System requires the use of a Google Sheets template which will allow you to edit any required fields, if necessary, and convert a CSV file exported from Retail Analytics to a DAT file (PMP required file extension). Before getting started with your PMP report for the first time, you will want to configure your Google Sheets template within Google Drive.

NOTE: You will need a Gmail account and Google Drive (Google business accounts with google drive access will work as well).

Step 1: Create a new folder in your Google Drive account called "PMP Reports". This will be the folder where your PMP Reports will be saved. If you need help setting up a folder in Google Drive, please see Google's official documentation. The quick steps are as follows:

  1. On your computer, go to drive.google.com.

  2. On the left, click New Folder.

  3. Enter a name for the folder.

  4. Click Create.

Step 2: Once the folder is created, open the folder in your browser and copy the Folder ID located at the end of the URL in your browsers address bar. The Folder ID will be the string of characters AFTER "https://drive.google.com/drive/folders/" in the URL. Save this Folder ID for use in a later step.

Step 4: At the prompt, click the "Make a copy" button.

NOTE: You will see a yellow warning informing you that an "Apps Script file and functionality will also be copied". The Google Sheets template requires the use of an App Script file to designate a folder in your Google Driver where the final PMP Report file will be saved to as well as convert the CSV file to the required DAT file in ASAP format.

Step 5: Once the copy is made in your Google Drive account, the PMP Report Template will open and click the "Menu" option above your toolbar, next to "Help". The "Menu" option may take a few moments to appear as this is generated using the Apps Script.

Step 6: Select "Enter Drive folder ID" from the options.

Step 7: Click "OK" on the Authorization required popup to allow the Apps Script permission to connect your "PMP Reports" Google Drive Folder to the PMP Report Template.

NOTE: You may be asked to sign into Google again at this point as a Google Security precaution. Sign in to the account you saved your PMP Report Template and made your PMP Reports folder in. Google may ask you to verify your trust the developer of this app and list your email (because you own the Google Sheet now that you've made a copy). You will need to accept these prompts to proceed.

Step 8: Once you've accepted the security prompts, click "Menu" once more and select "Enter Drive Folder ID". In the prompt, enter the Folder ID saved during Step 2 above, then click "OK".

Now your PMP Report Template is setup so you can begin running a PMP Report. Learn more about how to run the PMP report in the following section!

Running a PMP Report

To prepare your PMP Report, follow these steps:

Step 1: Navigate to Treez Retail Analytics and click “PMP Dashboard” from the report selection bar at the top of the page.

Step 2: Open the "Controls" panel, then select a store and date for which sales you would like to report.

Step 3: Sales with missing required fields will be identified by red highlighted rows when the report loads. Additionally, you may filter this selected date's sales for sales missing required fields by selecting “Required Field(s) Missing” from the "Discrepancy" filter or you may filter for sales without discrepancies by selecting "Valid For Submission" from the drop down.

Step 4: Before exporting the report, determine if you would like to upload this file to the PMP as a "Test" file to validate the data before uploading your final file for reporting or if you would like to upload this as a "Production" file for final reporting.

TIP: A “Test” file type will allow you to upload the sales to the PMP website without reporting it to the state. The submission will be treated as a test to ensure all required fields are filled out correctly and if not, the will return an error message. Uploading as "Test" file is a good way of double checking you have everything entered correctly before submitting a final production file to the State.

Step 5: Once you are happy with your selections, you can hover over the upper right corner of the first dashboard and click the vertical 3 dots(), the select “Export to CSV” option to save the file to your computer.

Step 6: In your Google Sheets PMP Report Template (created in the Setting Up the PMP Report Template section above), select File -> Import -> Upload -> Browse, then select the downloaded CSV file you would like to upload. Select “replace current sheet” option, deselect the “convert text to numbers, dates, and formulas.” and then “import data”.

Step 7: Review the data for accuracy, all required columns contain a “(R)” in the header contain customer, physician or product sale information and must be filled in.

TIP: If you need to look up a prescriber number, you can reference a list of prescribers in provided by The Health Council of Mississippi by visiting https://thc.ms/prescribers.

Step 8: Once you are satisfied with the data and the required fields are filled in, you can click "Menu", and select “Convert to .dat file and Send to Drive”.

Step 9: Your PMP file will be created in the folder specified during the Setting Up the PMP Report Template section and all future PMP reports will be centralized here for future reference. You may now upload the PMP Report to https://mississippi.pmpaware.net/login

TIP: "MMCEU" means Mississippi Medical Cannabis Equivalency Unit. One unit of MMCEU shall be considered equal to:

1. Three and one-half (3.5) grams of medical cannabis flower;

2. One (1) gram of medical cannabis concentrate; or

3. One hundred (100) milligrams of THC in an infused product.

Cannabis -> FlowerSmoked 1 Each = 1 MCEU

Cannabis Conc. -> Vape/Tincture 1 Each = 1 MCEU
