Customer Management Profiles

For caregiver sales to be correctly recorded, it’s critical that both the patient’s and the caregiver’s profiles are correctly set up. The patient and the caregiver will always require separate profiles, one for each individual. When creating these profiles in Customer Management, follow the instructions below to ensure the required toggles are on and the required fields are filled out.

Caregiver’s Profile (Caregiver is Adult-use)

If an Adult-use customer is authorized as a caregiver for a patient, follow these directions to set up the caregiver’s profile in Customer Management:

  • Adult Use Customer: Turn this toggle ON.

  • Caregiver License: Turn this toggle ON and enter the caregiver’s state-issued caregiver identification/license number.

Caregiver’s Profile (Caregiver is a Patient)

If a Medical patient is authorized as a caregiver for another patient, follow these directions to set up the caregiver’s profile in Customer Management.

  • State Medical ID #: Turn this toggle ON if the caregiver is a state-registered medical patient. Leave this OFF if the caregiver is not registered with the state.

​TIP: In most markets, ALL patients are registered with the state and issued a medical identification/Patient License Number. Caregivers are generally issued a specific Caregiver License Number in these markets. In California, patients can register their doctor's recommendation with the Department of Health but are not required to. If they do not register their recommendation with the state, the patient will not be issued a medical identification/patient license number and the caregiver may not be issued a Caregiver License Number.

  • Enter State Medical ID: If the caregiver is also registered in the state as a patient themselves, enter the caregiver’s personal state-issued medical identification/license number.

​TIP: Do not enter patient information on a Caregivers profile, the patients information should be entered only on the patient's personal profile. A patient’s medical identification/license number should not be present on any other profile but their own.

  • Caregiver: Turn this toggle ON and enter the caregiver’s state-issued caregiver identification/license number.

Patient’s Profile

If a patient has a caregiver, follow these directions to set up the caregiver in the patients Customer Management profile:

  • State Medical ID #: Enter only the patient’s state-issued medical identification/license number.

  • Caregiver: Click into the Caregiver field and select the patient's caregiver from the drop down list of caregivers

​TIP: Only profiles with the Caregiver toggle ON will appear in the Caregiver drop down. If you don't see the patients caregiver, head to the caregiver's profile and toggle ON the caregiver toggle.

NOTE: If the patient is a minor, we recommend one of these options.
1. Enter the minimum required medical age (18 years old in CA, MI, and AZ) in the ‘Date of Birth’ field, which allows you to save their profile. We also recommend recording their actual date of birth in the ‘Notes’ section and retaining a current image of their identification in the ‘Document Uploads’ section.
2. Change the minimum age allowed by navigating to Configuration > Config Page > Purchase Limits.

Customer Management Check-in & SellTreez Sale

There are a few different scenarios for how patients and their caregivers may wish to make a purchase. To ensure the caregiver is correctly attached (or not attached) to the sale, identify which of the following scenarios best matches and then follow the instructions in the appropriate section.

Caregiver Purchasing Only for Patient

If the caregiver is making a purchase only for their patient, follow the steps below.

Customer Management Check-in

Step 1: Check in the caregiver first. Then, check-in the patient they will be purchasing on behalf of. Checking in the caregiver before their patient automatically attaches the caregiver to the patient’s sale in the customer queue in SellTreez POS.

Step 2: On the SellTreez customer queue screen, tap the tile with the caregiver’s name. Then, tap the tile with the patient’s name. If the caregiver is purchasing for multiple patients, select the patient they'd like to purchase for first.

TIP: The blue CG icon indicates a patient and their caregiver are checked in properly.

Step 3: Add the patient’s items to the cart (as requested by their caregiver) and check out as usual.

TIP: If you click on the customers name at the top left of the cart, The ‘Attach caregiver to sales?’ toggle defaults to ON when Step 1 is followed. If proper check-in protocol was missed, you can attach a caregiver to a patient’s sale directly from the cart by toggling this ON. Or if the patient is present and wants to check themselves out, you can toggle this OFF to indicate this is a patient sale and not a caregiver sale.

Step 4: After you’ve completed the caregiver’s purchase for their patient, the caregiver’s tile (and any other patients they're purchasing for) will remain in the queue. If there are other patients to purchase for, tap the next patient's tile. Once all patients are purchased for, tap the X on the tile to remove the caregiver from the queue.

Caregiver Purchasing for Patient and Themselves

If the caregiver is making a purchase for both their patient and themselves, follow the steps below.

Customer Management Check-in

Step 1: Check in the caregiver first. Then, check-in their patient. Checking in the caregiver before their patient automatically attaches the caregiver to the patient’s sale.

Step 2: On the SellTreez customer queue screen, tap the tile with the caregiver’s name. Then, tap the tile with the patient’s name. If the caregiver is purchasing for multiple patients, select the patient they'd like to purchase for first.
